The Executive Assistant will be responsible providing operational, administrative and executive support to the Executive Director.
Role & Responsibilities
Manage and maintain executive calendar(s) / schedule(s), including scheduling travel and conferences, making appointments, and making changes to appointments.
Coordinate complex travel arrangements, typically involving multiple changes and destinations based on understanding of Executive’s availability and obligations. Support with travel documentation and procedures (itineraries, visa / passport procedures)
Answering and directing calls to appropriate executives and parties, taking messages.

Prepare executive responses to routine memos, letters, or correspondence & distribute correspondence, including email, voicemail and snail mail.
Prepare reports, collect and analyze information; prepare presentations.
Record meeting discussions and prepare minutes.
Establish professional and personal networks within the industry & participate in societies relative to the business.
Manage prompt submission and follow-up of business highlights / presentations; facilitating complex, time-sensitive communication on critical policy with staff and external constituents.
Meet with special interest groups or individuals on behalf of executives.
Prepare and develop a records management system; maintain and recommend changes to records system when appropriate.
Ensuring strong communication between the executive office and relevant personnel / contacts around emerging needs and initiatives.
Organize and manage guests’ visiting cards, maintaining and promptly updating executive contact database.
Direct the planning and execution of corporate events (meetings, holiday parties, client meetings, etc).
Preferred Qualification & Skills
Bachelors Degree/MBA & 5+ years of experience assisting at the Executive Level
Proficiency in MS Office (Word, Excel, Power Point).
Exceptional written, verbal & interpersonal skills. Proficiency in Bengali is essential.
Extremely organized and detail-oriented, with the ability to multitask and work collaboratively.
Positive, proactive, detail oriented and driven to succeed
Experience with domestic and international travel coordination
Relevant industry knowledge will be an added advantage
